Website contact forms
When you submit a contact form on our website, we collect your name, email address, organisation name, and any information you include in your message. We use this data to respond to your enquiry and, where relevant, to follow up with information about our services.

Hotel Energy Benchmarking Tool
When you use our benchmarking tool, the property details you enter (number of rooms, heating system type, annual energy spend, building age) are processed in your browser to generate an instant benchmark comparison. This data is not stored by us unless you choose to request the detailed report.
If you request the detailed report, we collect your name, email address, and hotel name (if provided), along with the benchmark inputs and results. This data is submitted to our customer relationship management system (HubSpot — see “Third-party services” below) so that we can prepare and send your report and follow up with you.
Legal basis: Consent (you actively submit the form requesting the report).
Consultation bookings
When you book a consultation through our website, you are directed to Calendly, a third-party scheduling service. Calendly collects your name, email address, and any information you provide when booking. We receive this data to prepare for and conduct the consultation.

Website analytics
We use Google Analytics 4 to understand how visitors use our website — which pages are visited, how long people spend on the site, and how they arrived. Google Analytics uses cookies to collect this information. The data is aggregated and does not identify you personally. Your IP address is anonymised before it is stored.

LinkedIn Insight Tag

Third-party services

HubSpot (HubSpot Inc., USA) — Our customer relationship management system. When you submit the benchmarking tool report request or a contact form, your data is stored in HubSpot. Data transfers to the USA are covered by HubSpot’s Data Processing Agreement and Standard Contractual Clauses.
Calendly (Calendly LLC, USA) — Our consultation booking system. When you book a meeting, your name, email, and booking details are processed by Calendly. Calendly’s privacy policy: https://calendly.com/privacy. Data transfers to the USA are covered by Standard Contractual Clauses.
Google Analytics (Google LLC, USA) — Website analytics. Collects anonymised usage data via cookies, subject to your consent. Google’s privacy policy: https://policies.google.com/privacy. IP anonymisation is enabled.
LinkedIn (LinkedIn Corporation, USA) — Campaign measurement via the Insight Tag, subject to your consent. LinkedIn’s privacy policy: https://www.linkedin.com/legal/privacy-policy.
WordPress — Our website platform. WordPress may set functional cookies required for the site to operate. No personal data is shared with WordPress.com (we use a self-hosted installation).
We do not sell, rent, or trade your personal data to any third party. We share data with the services listed above solely for the purposes described in this policy.
How long we retain your data
Contact form submissions and benchmarking tool leads: Retained in HubSpot for up to 24 months from your last interaction with us. After this period, your data is reviewed and deleted unless there is an ongoing client relationship or a legal obligation to retain it.
Consultation bookings: Retained by Calendly in accordance with their data retention policy. We retain our own records of consultations for up to 24 months.
Analytics data: Google Analytics data is retained for 14 months, after which it is automatically deleted.
Cookie data: Cookie lifespans vary by type. Analytics and marketing cookies are cleared if you withdraw consent.
Your rights
Under UK GDPR, you have the following rights regarding your personal data:
Right of access — You can request a copy of the personal data we hold about you.
